How it works

1

Enter the diary schedule

Tell us how many days have elapsed and how many entries the protocol expects per day, so we can calculate the expected entry count.

2

Enter actual submissions

Add how many entries were actually submitted, and how many of those arrived within the expected window rather than late.

3

Get a weighted compliance score

Completion rate (entries submitted vs. expected) and timeliness rate (on-time vs. late) are combined into a single 0-100 score, weighted toward completion.

Frequently asked questions

How is the compliance score calculated?

It combines two rates: completion rate (actual entries divided by expected entries, based on days elapsed and entries per day) and timeliness rate (on-time entries divided by total entries submitted). Completion is weighted 65%, timeliness 35%.

Why does timeliness matter separately from completion?

A participant can submit every entry but do it days late, which weakens recall accuracy. Tracking timeliness alongside completion surfaces that quality gap even when the completion rate looks fine.

Can this tool replace my study's eDiary or ePRO system?

No. This is a quick planning calculator to estimate compliance from numbers you already have. It doesn't collect real participant entries or connect to any study system.

What counts as a 'late' entry?

That's defined by your own protocol's expected window (for example, same-day or within 24 hours). Enter only the entries that met your own window as 'on time.'

Is this medical or clinical advice?

No. This tool is an operational and administrative planning aid only. It does not provide medical, clinical, or legal advice, and it does not diagnose any condition. It also does not store or transmit real patient or participant data — all calculation happens client-side in your browser, with no backend involved.

Can I use this for a small pilot study?

Yes. It works for any number of participants or days — just enter the figures for the participant or cohort you want to check.
